Terms of use

Last updated 6 October 2026.

These are the terms Fieldnote CRM is supplied under. Fieldnote CRM is a product of The Woodlawn Group, 392 Lynden Road, Brantford, Ontario N3R 0B9, Canada. Using Fieldnote means agreeing to what follows.

What you get

A Fieldnote database of your own, on its own web address, for the people you give sign-ins to. You get the features switched on for your subscription, support from us by phone and email, and your data back as a spreadsheet whenever you want it.

Who may use it

The people your administrator gives a sign-in to. Sign-ins are personal: they are not to be shared between people, because the record of who wrote what stops meaning anything if they are. The one exception is a trade show login, which is built to be shared at a booth and reaches nothing else.

You are responsible for what the people you give access to do with it.

Seats

A seat is a person who signs in, not a salesperson. If somebody in your office opens Fieldnote, that is a seat. Your tier sets how many seats you have. Tell us when you need more and we will move you up.

What it costs

Your subscription is agreed before you start and is invoiced to you directly. Nothing in Fieldnote charges you per message, per note or per record.

Free trials are offered from time to time. Where one applies, the terms of that offer say what is free and for how long, and those terms take precedence over this section.

Your data is yours

Everything you put into Fieldnote belongs to you. We claim no ownership of it, we do not sell it, and we do not use it to build or train anything we sell to anybody else. What we do with it is set out in our Privacy policy.

Any administrator can export the whole database at any time without asking us.

What we ask of you

Do not use Fieldnote to store information you have no right to hold. Do not use it to send anything unlawful. Do not try to break into it, overload it, or reach another customer's database. Keep your passwords to yourself.

If a rep leaves, take their sign-in away. We cannot know that for you.

Texting

Where texting is switched on, the rules on our Texting page apply: only mobiles registered in your CRM can text in, we only ever reply, and anybody can stop by replying STOP. Message and data rates from your own carrier may apply.

Keeping it running

We will keep Fieldnote available and working, and fix things that break. We do not promise it will never be down. Occasionally it will be, for maintenance or because something has failed, and when that happens we will say so rather than go quiet.

We may change and improve features. If a change removes something you rely on, we will tell you before it happens.

Ending it

You can stop at any time with 30 days' notice. Export your data before you go; after you stop, your database is kept for 60 days and then deleted.

We can end it with 60 days' notice, or immediately if Fieldnote is being used to break the law or to attack the service.

What we are responsible for

Fieldnote is a record of your sales conversations. It is not a substitute for your own judgement, your accounting records, or professional advice.

If something goes wrong and it is our fault, what we could be asked to pay is limited to what you have paid us in the twelve months before. We are not responsible for lost sales, lost profit, or business you believe you would have won.

Nothing here limits anything that cannot be limited under Canadian law.

Which law applies

These terms are governed by the laws of the Province of Ontario and the laws of Canada that apply in it. Disputes go to the courts of Ontario.

Changes to these terms

If these terms change in a way that matters, customers will be told by email rather than left to notice. The date at the top always shows the current version.
